Email Folder Compacting More Technicals Tips >>
Advantages of Compacting Emails
Ever wonder why your free space getting smaller and smaller even thought you have removed or deleted those unwanted email with big attachment. The deleted emails were not actually removed but are hidden from the user. Compacting will actually remove those emails that are hidden from your email programs thus recovering back hard disk space from your email folder. Sometimes, erratic program behavior may occur if you did not do any email folder compacting. A good example will be slow startup on the email program or it takes a longer time to access a particular email. To keep your email software healthy, it is advisable to at least run thru the compacting process at least once a month.
Almost all email software will come with compacting options. Below are the How-To for the most current email software available.
Microsoft Outlook Express (Version 6 and above)
  1. Open your Outlook Express.
  2. Click on File and point your mouse-pointer to Folder.
  3. It will expand a set of selections, select Compact All Folders.
Notes : Wait until the display windows disappear before you begin your normal email use. Please take note that it will take some time depending on the size of your email folder.
Microsoft Outlook
Microsoft Outlook (2000 and above) already has this function set to automatic. Automatic compaction takes place as an idle task running as a background process and requires Microsoft Outlook to be opened and that there are no CPU-intensive tasks running on the computer.
You are able to manually start the compaction as mentioned in the steps below,
  • Microsoft Outlook (2002 and above)
  1. Start your Microsoft Outlook.
  2. Click on File and then Data File Management.
  3. Select your Personal Folder, and then click Settings.
  4. Click on the General tap and click Compact Now.
  5. Click OK and then click Close.
  • Microsoft Outlook (2000)
  1. Start your Microsoft Outlook.
  2. Click on the Folder List on the View menu if the Folder List is not showing.
  3. Right-click on your or one of the Personal Folders.
  4. Click on Properties For Personal Folders.
  5. Click on General tap, click Advanced, and then click Compact Now.
  6. Click OK twice.
Mozilla Thunderbird
By default, this function will need to be activated by the user in Thunderbird. Below are the steps to set for both Automatic and Manual compaction.
  • Automatic
  1. Start your Thunderbird.
  2. Go on Tools and click on Options.
  3. Click on Advanced and go to Network & Disk Space tap.
  4. Under Disk Space box, tick the Compact folder when it will save over and change the default value to 1000.
  5. Click OK to close.
  • Manual
  1. Start your Thunderbird.
  2. Set to View all folders under View, click on Folders and then All.
  3. Click on the Local Folders, go to File and then click on Compact Folders. If you have trouble compacting the Local Folders, you can try compacting one folder at a time by right-clicking on the folder and choosing Compact.
Notes : Avoid downloading of email while compacting folders as this may cause corruption error. For POP3 accounts, go offline before compacting folders by going to File, click on Offline and then click on Work Offline. To go back to Online mode, go to File, click on Offline and then click on Work Offline again to remove the tick.
